Managing a Yard Spotter Truck Fleet
Spotter trucks (also called yard trucks, hostlers, or yard goats) are the moving parts that turn a yard plan into physical reality. A Yard Management System that treats spotter dispatch as a first-class scheduling problem — not an afterthought — directly determines how quickly trailers actually move once a decision has been made.
A yard can have a perfectly optimized dock schedule and still fall behind if the spotter fleet cannot execute moves fast enough. Spotter capacity is finite: a limited number of trucks, each capable of one move at a time, competing against every other pending move in the yard. The YMS needs to treat spotter availability as a real constraint in its planning, the same way a WMS treats labor availability on a warehouse floor.
Rather than dispatching moves in the order they were requested, an effective system prioritizes based on business impact:
- Moves that unblock a dock door currently sitting idle
- Moves tied to a trailer approaching a detention threshold
- Moves supporting a time-sensitive appointment or production sequence
- Routine repositioning moves with no immediate deadline
Re-ranking this queue continuously, rather than dispatching in a fixed order, keeps the spotter fleet working on what matters most as conditions change throughout the shift.
Not every spotter truck or driver is interchangeable — some yards run mixed fleets with different equipment capabilities, and drivers may have zone assignments or shift boundaries. The dispatch logic should account for truck-to-trailer compatibility (weight, coupling type) and driver proximity to the requested move, minimizing unnecessary deadhead travel across the yard.
Once moves are logged through the YMS rather than radioed and remembered, the system can report on moves per hour per driver, average time from move request to completion, and idle time between assignments. This data supports fair workload distribution and identifies whether the fleet is undersized, oversized, or simply poorly routed for the yard's physical layout.
Where spotter trucks carry GPS or telematics hardware, feeding that location data back into the YMS allows automatic move confirmation (the system detects the truck has arrived and coupled) rather than relying on manual check-off, further tightening the accuracy of the yard's live trailer location map.
