Receiving and Putaway Strategies

Receiving and putaway are the first two steps in a warehouse's inventory lifecycle, and mistakes made here ripple through everything downstream — a mis-scanned pallet or a poorly chosen storage location can cause picking errors and wasted travel days or weeks later. Getting these two steps right is one of the highest-leverage investments a warehouse can make.

Receiving: Confirming What Actually Arrived

Receiving starts before the truck even arrives, ideally with an Advance Shipping Notice (ASN) sent electronically by the supplier that tells the WMS what to expect — SKUs, quantities, and often serial or lot numbers. When the truck arrives, workers scan each pallet's or carton's barcode (typically GS1-128, which can encode a Serial Shipping Container Code, lot number, and expiration date in one label) and the WMS matches it against the expected ASN or purchase order line by line. Discrepancies — short shipments, damaged cartons, wrong items — get flagged immediately rather than discovered during a later stock check. Warehouses without ASN data still receive, but "blind receiving" (counting and identifying everything on arrival with no prior expectation) takes noticeably longer and carries higher risk of data entry error.

Putaway: Deciding Where Things Go

Once goods are confirmed received, putaway determines their storage location. The simplest approach — "put it wherever there's space" — works for very small operations but breaks down quickly as SKU count and order volume grow, because it scatters fast-moving items across the warehouse and lengthens every future pick. Directed putaway instead applies rules: fast-moving SKUs go to easily accessible locations near packing, heavy or bulky items go to ground-level or reserve storage, temperature-sensitive goods go to the correct zone, and hazardous materials are kept separated per compliance rules. The WMS calculates the target location and displays it to the worker via a handheld scanner, who then scans the location barcode to confirm the item actually landed where the system expects.

Common Putaway Strategies
  • Fixed location: every SKU always goes to the same predetermined bin — simple to learn but wastes space when a SKU's volume fluctuates
  • Random/dynamic location: the system assigns whatever suitable empty bin is nearest, maximizing space utilization at the cost of needing accurate real-time location tracking
  • Zone-based: SKUs are grouped by category, velocity, or handling requirement (fragile, hazmat, cold chain) into dedicated zones, then placed dynamically within the zone
  • Cross-docking: for goods already allocated to an outbound order, skip storage entirely and move directly from inbound dock to outbound staging (see the dedicated cross-docking article)
Why This Stage Determines Downstream Efficiency

Every minute saved or lost in putaway gets multiplied many times over during picking, because a single storage decision might be picked against dozens or hundreds of times before that stock is exhausted.
