Lot and Serial Number Tracking

Lot tracking and serial number tracking are two ways a WMS follows individual units or groups of units through the warehouse, and each answers a different question. Lot tracking answers "which batch was this?" for groups of identical items; serial tracking answers "which exact unit was this?" for individually unique items. Choosing the right level of granularity — or combining both — is central to traceability, recalls, and warranty management.

Lot Tracking: Grouping Identical Items by Batch

A lot (or batch) is a group of items produced or received together, sharing a manufacturing date, expiration date, and often a specific production run. Lot tracking assigns a single lot number to an entire batch and records which locations, orders, and shipments that lot number touched, without needing to distinguish between individual units within it. This is standard for food, pharmaceuticals, cosmetics, chemicals, and most bulk-manufactured goods, where a manufacturing defect or contamination typically affects an entire production run rather than one specific item — so tracing "which lot" is exactly the right granularity for a recall.

Serial Number Tracking: Following Individual Units

Serial tracking assigns a unique identifier to every single unit, regardless of which batch it came from, and follows that specific unit through receiving, storage, picking, and shipping. This is standard for electronics, appliances, vehicles, industrial equipment, and any high-value item where warranty claims, repairs, or asset tracking need to reference one exact unit rather than a batch. Serial tracking also enables reverse lookups a lot number can't: given a serial number returned for warranty, the WMS can immediately tell you which customer bought it, when, and from which shipment — useful for both service and fraud prevention (catching a warranty claim on a serial number that was never actually sold, for example).

How the WMS Captures This Data

Both approaches depend entirely on barcode (or RFID) capture at every transaction. For lot tracking, the lot number is usually part of the GS1-128 barcode on the carton or pallet, alongside quantity and expiration date, captured once at receiving and inherited by every downstream transaction until the lot is exhausted. For serial tracking, each individual unit carries its own barcode, scanned separately at receiving, at putaway if stored individually, at picking, and at packing — meaning serial-tracked operations generate far more scan events per order than lot-tracked ones, which is a real throughput consideration when designing a picking process for serialized goods.

Recalls, Warranty, and Compliance

The practical payoff of good lot/serial tracking shows up during a recall or warranty claim. With accurate lot tracking, a manufacturer can identify every shipment, customer, and remaining warehouse unit tied to a defective batch within minutes rather than days, limiting both the scope of a recall and the financial exposure of over-recalling unaffected stock. With serial tracking, a single defective unit can be traced back to its exact receiving date, storage history, and shipment without touching unrelated inventory at all. Regulated industries (pharmaceuticals, medical devices, food) frequently mandate lot traceability by law — being unable to answer "where did lot X go" within a required timeframe can carry real regulatory consequences, not just an operational inconvenience.

Combining Both When Needed

Some products need both layers simultaneously — a medical device manufactured in a specific lot but also individually serialized for regulatory tracking, for instance. A capable WMS supports nested tracking: a serial number belongs to a lot, and the system can answer questions at either level ("show me every unit in lot X" or "show me the full history of serial number Y") without maintaining two disconnected systems of record.
