Electronic Logging Devices (ELD)
Electronic Logging Devices (ELDs) automatically record a commercial driver's hours of service by connecting to a vehicle's engine, replacing paper logbooks with tamper-resistant digital records. For fleets and TMS platforms, ELD data is not just a compliance checkbox — it feeds directly into route planning, driver scheduling, and delivery time predictions.
An ELD connects to the vehicle's engine control module and automatically captures data the driver cannot manually edit away, which is the core difference from older electronic logging methods. Recorded data typically includes:
- Engine hours and vehicle motion status (driving, on-duty not driving, off-duty, sleeper berth)
- Date, time, and location at each duty status change
- Total miles driven and engine hours per duty cycle
- Driver identification and vehicle identification (VIN)
Because the data comes from the engine itself rather than driver self-reporting, it is far harder to falsify than a paper log — a driver cannot simply write down hours that don't match actual vehicle movement.
Hours-of-service (HOS) regulations limit how long a commercial driver can drive and work before a mandatory rest period. These limits vary by jurisdiction but generally include a maximum daily driving window, a maximum cumulative on-duty time, and mandatory off-duty or rest periods. A TMS that ignores HOS constraints will generate routes that look efficient on paper but are physically impossible for a driver to complete legally — the driver would run out of available hours mid-route. Integrating ELD data into route planning means the system can calculate real, legally achievable delivery windows rather than theoretical straight-line ones.
When ELD data streams into a TMS in near real time, dispatchers gain visibility they cannot get from a paper log:
- Automatic alerts when a driver is approaching their remaining available hours
- Dynamic ETA recalculation that accounts for mandatory rest breaks, not just distance and traffic
- Simplified compliance audits, since HOS records are already digitized and searchable
- Reduced risk of dispatchers unintentionally pressuring drivers into HOS violations
Regulators can request ELD records during roadside inspections or audits, and records typically need to be retained for a defined period (commonly around six months, though requirements vary by jurisdiction). A TMS that stores ELD history alongside shipment and driver records makes audits far faster to respond to, since inspectors and internal compliance teams can pull a specific driver's history without cross-referencing separate systems.
Fleets that treat ELD data purely as a regulatory obligation miss its operational value. Aggregated ELD data reveals which routes consistently push drivers close to HOS limits (suggesting the route needs redesign or an added stop), which drivers have unusually efficient duty-cycle patterns worth studying, and where planned transit times are systematically underestimating real-world driving time.
