Bill of Lading and Shipping Document Automation
The bill of lading remains the legal backbone of a freight movement, recording what was shipped, who is responsible for it, and under what terms. Modern TMS platforms automate its creation, distribution, and reconciliation instead of leaving it as a manually typed paper form.
A bill of lading (BOL) serves three roles at once: it is a receipt for the goods tendered to the carrier, a contract of carriage between shipper and carrier, and in some forms, a document of title. Because it carries legal weight, errors in weight, piece count, commodity description, or special handling instructions are not cosmetic — they can affect claims outcomes, billing accuracy, and liability if goods are lost or damaged in transit.
- Data re-entry between the order system, the warehouse pick/pack process, and a manually typed BOL introduces transcription errors in weights, quantities, and addresses.
- Special instructions (hazmat class, temperature requirements, appointment numbers) get missed when a dock worker fills out a form by hand under time pressure.

A TMS that owns the order and routing data can generate the BOL directly from the confirmed shipment record — pulling weights and piece counts from the warehouse management system, commodity and NMFC classification from the item master, and carrier and rate details from the tendered load. The document is then transmitted electronically to the carrier and, where required, printed for the driver's physical copy. Because the BOL originates from the same data used for rating and dispatch, the numbers on the document match what the TMS itself will use later to audit the freight invoice.
Beyond simply printing a cleaner document, many TMS implementations exchange BOL data electronically with carriers through EDI or API integrations, eliminating the paper handoff altogether for carriers equipped to receive it. This is particularly valuable for high-volume shippers moving hundreds of loads a day, where even small per-document processing time adds up across a dispatch team.
Because a system-generated BOL captures accurate weight, class, and accessorial data at the moment of tender, it becomes a reliable reference point for auditing carrier invoices later. Discrepancies between what the BOL states and what the carrier bills — a reweigh, a reclassification, or an extra accessorial charge — surface faster and with clearer evidence when the original document was created from validated shipment data rather than handwritten in the yard.
