What Chain of Custody Actually Records

Where a basic POD confirms only the last handoff, chain-of-custody documentation captures every transfer of control across the journey: pickup from the shipper, each cross-dock or transfer point, loading and unloading at intermediate facilities, and final delivery. Each link records the same core elements — who took possession, when, condition observed, and any exceptions noted — creating a continuous, auditable trail.

Legal and forensic shipments — evidence transport, for instance — require an unbroken chain to remain admissible.

Digital Custody Records Versus Paper Trails

Paper-based custody logs suffer the same weaknesses as paper POD, multiplied by the number of handoffs — more copies, more opportunities for loss, and no way to detect a gap in the chain until it is too late. Digital custody tracking, tied to barcode or RFID scans at each transfer point, timestamps every event automatically and flags a break in the chain immediately, for example if a shipment expected at a cross-dock is never scanned in.

Handling Gaps and Discrepancies

A well-designed custody system treats a missing scan or unexplained time gap as an active exception requiring investigation before the shipment proceeds, not a note to be resolved later. This is particularly important for regulated goods, where an unexplained custody gap can render an entire shipment non-compliant regardless of its final delivery condition.

Connecting Custody Records to POD

Final POD should reference the full custody chain, not stand alone as an isolated event. When a dispute or audit arises, being able to reconstruct the entire journey — not just the final handoff — is what separates a defensible operation from one exposed to liability it cannot disprove.
